Hourly rate to project price calculator

Converting an hourly rate into a fixed project price takes more than multiplying one number by another. The time estimate, direct costs, uncertainty, and scope boundaries all affect the price.

Use the conversion formula

Formula(Estimated hours × hourly rate) + expenses + project buffer = suggested project price

Estimate delivery and overhead time

Include the work required to manage the project: calls, preparation, feedback consolidation, quality assurance, file handling, and delivery. If those hours are necessary to produce the outcome, they belong in the estimate.

Keep expenses separate

Add stock, licences, contractors, travel, hosting, or other pass-through costs separately. This makes the price easier to review and prevents project costs from quietly consuming labour margin.

Calculate a fixed price

Example16 hours × $90 = $1,440. Add $60 expenses and a 12% labour buffer of $172.80. Suggested project price: $1,672.80 before commercial rounding.

Know when not to convert

Do not promise a fixed price when requirements will be discovered during delivery, stakeholder access is uncertain, or the volume can change freely. Use paid discovery, milestones, or hourly billing until the work becomes bounded.
