A fixed price works when the outcome and boundaries are clear enough for the freelancer to carry delivery risk deliberately. Calculate the number, then test the scope before sending it.
Confirm the work can be fixed
Use fixed pricing when deliverables, decision-makers, dependencies, feedback, and completion criteria can be described. If the project is exploratory or the client can change volume freely, begin with paid discovery or hourly work.
Calculate the internal cost
Estimate the required hours and multiply them by the internal working rate. Add direct project expenses and a visible allowance for bounded uncertainty.
Test a real example
Define what the price buys
Place the outcome, deliverable quantities, assumptions, exclusions, revision policy, schedule, and payment timing beside the price. A fixed number without a fixed scope is not a fixed-price project.
Create a change path
Explain that new deliverables or changed direction require a written change with its own price and timing. This keeps a normal project change from becoming an argument about what someone remembers.
